    This role will provide full administrative support, including routine and specialized administrative services for the Senior Vice President and will provide general office management support to the greater office. The position requires a professional, vibrant and highly skilled talent. This person must interact with demanding clients in a professional and pleasant manner, providing them a sense that their needs are being taken care of and met. The hired candidate must be able to manage many projects, administratively support numerous executives in the office and remain cool under pressure. Thorough knowledge and proven application of Word, Excel, Powerpoint and Outlook are a must. Also the ability to efficiently use the office machines and phone system is paramount to the success of this person.  Attending to and ensuring the office is appropriately and timely stocked with necessary supplies and materials is an ongoing need and must be achieved to ensure the timely completion of projects in the San Francisco office. This position requires a flexible, hardworking and dedicated person with a strong commitment to customer service with external and internal customers.

     

    WHAT YOU’LL DO //

    • Maintain the Senior Vice President’s schedules and weekly timelines to include scheduling meetings
    • Arrange travel schedules for the Senior Vice President
    • Maintain expense reports for the Senior Vice President
    • Responsible for sending correspondence on behalf of the Senior Vice President
    • Executive-level administrative and office clerical support work
    • You will perform related duties and provide assistance on various projects as assigned by other executives under the direction of the Senior Vice President
    • Maintain various databases and internal systems such as Workflow Gen, Salesforce, Alfresco and Costpoint.
    • Perform other related Admin duties and provide assistance on various projects as assigned by Executive
    • You will be responsible for the overall management of the office to include, but not limited it:
      • Answering the main office line
      • Ordering and stocking of office supplies
      • Ensuring an organized and tidy appearance of the office
      • Organizing office functions and special events in conjunction with others as needed
      • Ensuring all office equipment is kept up to date with upkeep and maintenance
      • Providing assistance with filing and organization
      • Coordinating any office moves
      • Distributing mail
      • Act as a liaison with Milwaukee (Sharon Casey) for office needs
      • Order gifts/send thank you notes
      • Birthday lists
      • Work with landlord and necessary GMR personnel to rectify building issues.

     

    WHAT WE’RE LOOKING FOR //

    • You have a high school diploma or an Associate’s degree
    • You have at least 2 years of experience providing executive level assistance
    • You understand the need for extremely high confidentiality
    • You are able to perform multiple tasks with various deadlines with minimal supervision and independent thinking
    • You are detail-oriented
    • You have excellent interpersonal and communication skills
    • You have strong composition skills
    • You are able to prioritize while multitasking different projects
    • Excellent computer skills; conversant with many software programs.

    • Ability to perform a variety of administrative assignments requiring considerable exercise of independent judgment.
    • Thorough knowledge of office practices, procedures and equipment.
